Hosting the Best Ever Offsite for Your Team: A Deliberate Leader’s Guide 

An offsite is more than just a change of scenery—it’s a powerful opportunity to bring your team together, strengthen bonds, solve problems, and spark creativity. If done deliberately, it can fuel engagement, collaboration, and drive performance long after the event ends. So, how do you host the best offsite your team has ever participated in?

Here are some tips to make it a memorable and productive experience for your team. 

 1. Start with Purpose  

The first step is to be clear about the goal of the offsite. Is it to strategise, brainstorm new ideas, solve challenges, or build stronger team dynamics? Being deliberate about your purpose will help guide every other aspect of the event, from the venue to the agenda. A focused purpose ensures that everyone understands why they’re there and what you want to achieve. It may be helpful to think about the purpose as a theme.  Just like the theme of an event, what’s your team offsite theme? 

Tip: Share the purpose and theme in advance with the team so they can come prepared with relevant insights and a focused mindset. 

 2. Choose the Right Venue 

The venue should match your goals. If creativity is your focus, choose a space that inspires—think open, natural environments with plenty of light. For strategy and planning sessions, a quieter, tech-enabled space might be best. The environment can significantly affect your team’s mindset and energy levels, so select a location that aligns with your objectives. 

Tip: Don’t overlook practical considerations like travel time, comfort, and amenities to ensure that logistics don’t detract from the experience.  If possible, book a place with lots of natural light.  No one wants to be stuck in a windowless room for a day or two! 

3. Curate a Balanced Agenda 

Your agenda is the heartbeat of your offsite. Balance structured time for discussions and decision-making with unstructured time for relationship-building and reflection. Deliberate leaders know that offsites aren’t just about getting work done—they’re also an opportunity for team members to bond and connect on a more personal level.  A deliberately balanced agenda considers how you work as a team and what the work needs to be. 

Tip: Incorporate team-building activities that fit the purpose, but ensure they align with your team’s preferences and aren’t overly forced. Let team members recharge and interact naturally.  Don’t worry about games and obstacle courses.  Keep it simple and deliberately intentional. 

4. Engage Everyone 

One of the most significant challenges at an offsite is ensuring that all voices are heard. As a deliberate leader, it’s necessary to create an environment where everyone feels comfortable contributing. This can be done by using varied formats—small group discussions (I love walk’n’talks), breakouts, or brainstorming sessions. This prevents the loudest voices from dominating the conversation and encourages diverse input. 

Tip: Engage an external facilitator/host so all members of the team can genuinely participate.  This can also help to keep perspectives fresh and to empower different team members to more actively participate. 

5. Facilitate Open and Honest Conversations 

An offsite should be a safe space for meaningful conversations. Set ground rules to foster a culture of trust and psychological safety where team members feel confident voicing their thoughts and concerns. Facilitating open dialogue not only deepens relationships but also encourages problem-solving and innovation. 

Tip: Start with a check-in or connection activity. When leaders model transparency, it invites others to do the same. 

6. Plan for Post-Offsite Action 

The energy generated during an offsite is great, but how will you sustain it once everyone returns to their day-to-day responsibilities? Your offsite should end with clear action items and owners. Assign follow-ups to ensure momentum continues, and schedule check-ins or reviews to track progress. 

Tip: Create a shared document or dashboard for visibility and accountability on the next steps to keep everyone aligned. 

7. End on a High Note 

Wrap up the offsite by celebrating the team’s hard work and efforts. Whether it’s with a closing reflection session, an awards moment, or a team dinner, make sure to end on a positive and energising note. Leaving the offsite with high morale ensures your team returns to work feeling connected and motivated. 

Tip: Ask for feedback after the event to learn what worked well and where improvements could be made for future offsites.  I prefer to use the format of “one insight plus one action” to help conclude the sessions I facilitate.
